AR/AP. Journal Entries/Accruals. Account Reconciliation. Customer Service.

You enjoy researching and resolving discrepancies, ensuring the timely processing of payments to vendors, and performing account reconciliations.

Vectorworks, Inc. is looking for an accounting associate who will be an integral part of our accounting and finance team. As an accounting associate, you will report directly to the senior accounting manager and will be responsible for assisting in the day to day activities of accounts payable and receivable.

This position is based in Maryland and offers a hybrid schedule (onsite/remote).

You’ll make an impact by:

• Recording, coding, and sorting vendor invoices, and handling mail for AP.
• Reviewing all invoices for appropriate documentation and approval prior to payment.
• Supporting end of the month processes: account reconciliations, closings, posting accruals and booking month end accruals, posting transaction journal entries, etc.
• Maintaining all accounts payable and related spreadsheets.
• Summarizing and preparing credit card statement expenses.
• Assisting with employee reimbursements.
• Assisting in preparing weekly outgoing payment schedule, ACH, Wire transfers & EFT.
• Assisting in setting up vendor invoices to be approved in DocuSign.
• Assisting in maintaining vendor and customer files.
• Answering vendor and customer inquiries.
• Assisting with preparation of annual 1099’s, W-9, W-8’s etc.
• Supporting accounts receivables: applying customer payments against invoices (e.g., lockbox, credits, chargebacks).
• Researching and resolving payment discrepancies (Paypal & Stripe merchant accounts, checking, etc.).
• Supporting audit requests.
• Reviewing expenses reports for completeness and accuracy.
• Performing other duties as required to support Accounting Department.

About you:

• An Associate’s Degree in Accounting, Finance, or related field is preferred.
• 2 years of related work experience or equivalent combination of education and experience.
• Working knowledge of Netsuite, Concur, Paypal and/or Stripe, or other CRM/ERP accounting systems, etc.
• Familiarity with Excel spreadsheets.
• Ability to prioritize and meet deadlines, while maintaining consistency and accuracy.
• Enjoy working as part of a team, as well as independently.
• Able to maintain confidentiality of privileged information.
• Ability to maintain positive contacts within all levels of the organization to explain and interpret information or ideas and follow up on customer requests.
• Excellent communication skills, both written and verbal.
